Job Description
An Executive Assistant responsible for providing high-level administrative support to senior executives, managing schedules, travel, correspondence, and performing notary duties in a fast-paced environment within a clean energy company.
Key Responsibilities
- Provide administrative support to senior executives, including calendar management and scheduling
- Arrange travel and accommodations for executives
- Track, prepare, and submit expense reports for reimbursement
- Format and prepare internal and external communications such as emails, presentations, and reports
- Take minutes during meetings
- Perform Notary Public duties as required
- Assist in planning meetings and company events
- Support other Executive Assistants as backup
- Assist with special projects as needed
Requirements
- Five years of experience as an Executive Assistant
- Current Notary Public license issued by the Notary Commission of the State of California
- Excellent knowledge of MS Office applications
- Extremely detail-oriented with outstanding organizational and time management skills
- Excellent verbal and written communication skills
- Self-motivated, proactive, and forward-thinking
- Diplomatic and tactful in communication and interactions
- Ability to maintain a positive attitude and willingness to work with all team members
- Willingness to go above and beyond to consistently produce excellent quality of work
- Ability to effectively communicate with all levels of internal and external contacts
- Ability to work independently and multitask in a fast-paced team environment
- Ability to handle discrete, confidential, or sensitive information appropriately
- Ability to perform calendar management, scheduling, and coordinate travel and accommodations
- Ability to track, prepare, and submit expenses on a monthly basis for reimbursement
- Ability to format information for internal and external communication, including emails, presentations, or reports
- Ability to take minutes during meetings
- Ability to provide backup support to other Executive Assistants
- Perform Notary Public duties such as witnessing document signings
- Assist with planning meetings and company events
- Assist with special projects as needed
Benefits & Perks
Compensation/salary range: $100,732 - $118,508 USD
