Job Description

A Procurement Associate supporting the development and execution of procurement strategies for solar PV storage systems and components within a renewable energy company, focusing on contract management, vendor relations, and process optimization to drive down costs and ensure compliance.

Key Responsibilities

  • Support the implementation of procurement strategies for solar PV storage systems and components.
  • Collaborate with cross-functional teams including legal, finance, EPC, and development teams to meet project timelines.
  • Assist in creating and maintaining procurement processes and best practices for large-scale projects.
  • Support complex transactions involving multiple supply, construction, and operational contracts.
  • Manage supplier relationships, including onboarding, tracking, and ensuring ESG compliance and insurance requirements.
  • Review and prepare standard contract documents such as NDAs, RFPs, master service agreements, and amendments.
  • Lead the contract execution process and internal reporting approvals.
  • Track and process payments, deposits, milestone payments, and invoices.
  • Ensure compliance with corporate policies, including ESG initiatives and SOX requirements.

Requirements

  • Demonstrate sound industry knowledge, superior communications, and detail-oriented organizational skills.
  • Support the Strategic Procurement Managers and Directors in the implementation of Avantus procurement strategy and standards across solar PV storage systems and components.
  • Have experience in the renewables sector, contract management, contract compliance, vendor management, developing and implementing procedures, and document control.
  • Work collaboratively with other team members, cross-functional teams including legal, project finance, corporate finance, EPC, procurement, land and development teams, and other internal stakeholders at all levels of the company.
  • Support the Procurement team and cross-functional teams on special projects, general corporate work, and administrative tasks.
  • Assist with deliverables required from project finance, third parties, and work closely with legal, internal stakeholders, and project partners to meet closing timelines.
  • Create and follow best practices in processes for large scale procurement, including organization and alignment within the two functions of the Procurement team, PV and Storage.
  • Support complex transactions that feature multiple supply, integration, construction, and O M contracts.
  • Manage supplier relationships, including development and management of systems to support strategic negotiations and existing and future contracting, including onboarding, tracking and organizing financials, ESG compliance, and insurance.
  • Review and assist with preparation of standard contract documents, including non-disclosure agreements, requests for proposals, master services agreements, consulting agreements, amendments, and change orders.
  • Lead the document execution process, including internal reporting approvals.
  • Manage payment tracking and processing for large value deposits, milestone payments, and individual invoices.
  • Lead the team’s compliance matters and implement corporate policies such as ESG initiatives and SOX compliance.
  • Be highly detail-oriented and organized, with the ability to multi-task and manage tight timelines, prioritize deadlines, and work effectively with multiple stakeholders and cross-functional teams.
  • Proactively approach problem solving and support company growth by introducing or utilizing tools and procedures that improve efficiencies.
  • Be adaptable in a dynamic and fast-paced atmosphere, proactively identifying and addressing support needs, especially when working remotely.
  • Possess at least three years of contract administration or equivalent experience.
  • Have the ability to make administrative procedural decisions and judgments, and to create, compose, and edit written materials.
  • Be reliable, dependable, and flexible.
  • Have solar industry experience (preferred).
