Job Description

A Procurement Associate supporting the strategic procurement of solar PV storage systems and components, responsible for contract management, vendor relations, process improvement, and cross-functional collaboration within a renewable energy company.

Key Responsibilities

  • Support the implementation of procurement strategies and standards across solar PV storage systems and components.
  • Collaborate with cross-functional teams including legal, finance, EPC, land, and development teams to meet project timelines.
  • Assist in creating and maintaining procurement processes, documentation, and best practices for large-scale projects.
  • Support complex transactions involving multiple supply, integration, construction, and O&M contracts.
  • Manage supplier relationships, onboarding, tracking, and ensuring ESG compliance and insurance requirements.
  • Review and prepare standard contract documents such as NDAs, RFPs, master service agreements, and amendments.
  • Lead the contract execution process, including internal approvals, payment tracking, and processing invoices.
  • Ensure compliance with corporate policies, including ESG initiatives and SOX regulations.

Requirements

  • Demonstrate sound industry knowledge, superior communications, and detail-oriented organizational skills.
  • Support the Strategic Procurement Managers and Directors in the implementation of Avantus procurement strategy and standards across solar PV storage systems and components.
  • Have experience in the renewables sector, contract management, contract compliance, vendor management, developing and implementing procedures, and document control.
  • Support cross-functional teams including legal, project finance, corporate finance, EPC, procurement, land and development teams at all levels of the company.
  • Assist with special projects, general corporate work, and administrative tasks related to procurement.
  • Support deliverables required from project finance, third parties, and work closely with legal, internal stakeholders, and project partners to meet closing timelines.
  • Create and follow best practices in processes for large-scale procurement, including organization and alignment within the procurement functions of PV and Storage.
  • Support complex transactions involving multiple supply, integration, construction, and O M contracts.
  • Develop and manage supplier systems supporting strategic negotiations and contracting, including onboarding, tracking, organizing financials, ESG compliance, and insurance.
  • Review and assist with the preparation of standard contract documents, including non-disclosure agreements, requests for proposals, master services agreements, consulting agreements, amendments, and change orders.
  • Lead the document execution process, including internal reporting, approvals, and payment tracking for large deposits, milestone payments, and individual invoices.
  • Lead team’s compliance matters and implement corporate policies such as ESG initiatives and SOX compliance.
  • Be detail-oriented, highly organized, and able to multi-task and manage tight timelines while prioritizing deadlines.
  • Work effectively with multiple stakeholders and within cross-functional teams.
  • Proactively approach problem solving and support company growth and culture by introducing or utilizing tools and procedures to improve efficiencies.
  • Adapt to a dynamic and fast-paced environment.
  • Identify and address support needs proactively, especially when working remotely.
  • Have solar industry experience (preferred).
  • Possess at least three years of contract administration or equivalent experience.
  • Be able to make administrative procedural decisions and judgments.
  • Be capable of creating, composing, and editing written materials.
  • Demonstrate reliability, dependability, and flexibility.
