Job Description

The Front Office Associate will serve as the primary point of contact for visitors and internal stakeholders, providing administrative support to ensure smooth office operations, maintaining a professional reception area, and coordinating various administrative and logistical tasks within the organization.

Key Responsibilities

  • Serve as the first point-of-contact for visitors, providing guidance and ensuring a courteous reception experience
  • Maintain a neat and orderly front office and guest reception area
  • Manage visitor security protocols and building access compliance
  • Coordinate with building management, security, cleaners, and external service providers on operational needs
  • Report and follow up on facilities or maintenance issues
  • Track and manage office supplies inventory and initiate replenishment requests
  • Reconcile petty cash and office-related purchases
  • Assist in coordinating internal events, catering, and office engagement activities
  • Support internal communication and administrative updates regarding office and building information
  • Coordinate calendar for shared spaces and facilities
  • Prepare materials and logistical arrangements for meetings
  • Provide administrative support to internal teams as needed

Requirements

  • A bachelor’s degree in Business Administration, Commerce, or related discipline
  • At least 3 years of experience in a busy administration role
  • Strong written and verbal communication skills with a professional polish and client-service mindset
  • Proficient in MS Office and Google Suite, along with equivalent productivity communication applications such as Zoom, Slack etc
  • Highly organized, adaptable, and proactive, with strong attention to detail
  • Ability to prioritize tasks, manage timelines, and support multiple stakeholders
  • Ability to maintain discretion, professional judgement, and confidentiality at all times
  • Self-reflective and aligned with Acumen values
  • Permanently authorized to work in Kenya
