An Administrative Assistant responsible for supporting internal teams and external customers through organizational, clerical, and project coordination tasks to ensure smooth operations and effective communication within the company.
Key Responsibilities
Organize and perform administrative tasks for the work group, supporting internal employees and external customers
Coordinate customer inquiries to ensure timely and accurate delivery of equipment
Assist with order entry, revisions, and maintain accurate order information
Maintain and track spare parts lists for various product teams
Support Project Engineers with administrative activities related to projects and equipment
Track inspection reports and identify process improvement opportunities
Develop and update presentations and materials for management
Manage and organize group SharePoint data
Assist with global reporting and communication efforts
Create and maintain project documentation using Microsoft Office tools
Perform shipping, receiving, meeting coordination, filing, and document preparation
Requirements
Ability to support internal employees as well as external customers by organizing and performing administrative tasks in the specified work group.
Support coordination of customer inquiries to ensure timely and accurate delivery of required equipment.
Assist with order entry and revisions, ensuring all information is complete and up to date.
Maintain and track spare parts lists to ensure accuracy for the Process Burners, Boiler Burners, Flares, Thermal Oxidizers, and the Aftermarket team.
Assist Project Engineers with administrative activities involving projects and equipment when needed.
Track inspection reports and identify areas for process improvement.
Develop new presentations and update existing materials for the Order Execution Manager and Applications Managers.
Manage and maintain group SharePoint data, ensuring accuracy and organization.
Assist with global reporting and communication efforts.
Create and maintain project documentation using Microsoft Word, Excel, and Project.
Perform administrative tasks including shipping and receiving, meeting coordination, filing, organization, and document preparation.
Generate reports as needed to support team objectives.
Take ownership of and contribute to group culture and team engagement initiatives.
