Job Description

The Office Coordinator role at RES involves providing administrative support to ensure efficient office operations, including managing facilities, coordinating meetings, handling mail and supplies, and supporting staff in a fast-paced, environmentally-focused organization.

Key Responsibilities

  • Provide administrative support to office staff and management
  • Maintain office efficiency by coordinating resources, processes, and support systems
  • Manage facility and vendor needs, including maintenance, repairs, and office improvements
  • Coordinate meetings, seminars, conferences, and catering arrangements
  • Support document management, including filing and records organization
  • Assist with preparation of regulatory documents and administrative projects
  • Greet visitors, answer phones, and manage front desk operations
  • Manage building access, security, and safety protocols
  • Perform data entry and support internal communications
  • Oversee mail distribution, deliveries, and office supplies
  • Maintain kitchen and breakroom cleanliness and supplies
  • Coordinate maintenance and service calls for office equipment and facilities

Requirements

  • At least 3 years of administrative or office coordinator support experience in an office setting.
  • Experience supporting multiple internal stakeholders and coordinating office operations.
  • Strong written, verbal, and visual communication skills.
  • Proven ability to take initiative in an environment of change and growth.
  • Strong attention to detail and ability to manage multiple tasks and priorities.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Experience coordinating vendors and office support services.
  • Comfort assisting with data entry, internet research, and special administrative projects.
  • Experience coordinating meetings, seminars, conferences, and catering.
  • A positive, polished, and service-oriented approach to internal support.
