Job Description

The role involves managing front desk operations, supporting office maintenance and reconfigurations, coordinating supplies and vendor interactions, and assisting with workplace events and safety programs to ensure a welcoming and efficient office environment.

Key Responsibilities

  • Greet employees, visitors, and vendors, and manage front desk operations
  • Handle incoming and outgoing mail, deliveries, and general inquiries
  • Manage access control system, including issuing and deactivating badges
  • Support employee requests and maintain a welcoming environment in common areas
  • Oversee food and beverage ordering, restocking, and inventory management
  • Assist with office maintenance, repairs, and space reconfigurations
  • Conduct regular office walkthroughs to identify safety, cleanliness, or maintenance issues
  • Support office moves and setup, including furniture and cabling arrangements
  • Collaborate with vendors and internal teams on logistics and maintenance tasks
  • Manage office and kitchen supplies inventory and restocking

Requirements

  • At least 2 years of experience in a customer-facing role such as reception, office administration, hospitality, or high-end retail.
  • Proficiency with basic hand tools including drill, hammer, screwdriver, and level, and comfort with performing non-technical repairs and handyperson tasks such as hanging whiteboards and pictures, assembling furniture, fixing wobbly chairs, changing lightbulbs, minor drywall patching, and paint touch-ups.
  • Excellent communication, interpersonal, and customer service skills.
  • A proactive attitude with a strong sense of ownership, where no task is too small.
  • Solid organizational and time-management skills with the ability to prioritize and multitask in a fast-paced environment.
  • Proficiency with standard office software including Microsoft Office and Google Workspace.
  • Physical ability to walk, stand, bend, and lift/move items weighing up to 40 pounds.
