Job Description
The Creative Operations Specialist provides operational support to Esri's in-house creative team, managing project workflows, vendor relationships, budgets, and process optimization to ensure efficient delivery of creative initiatives that promote the company's brand and services.
Key Responsibilities
- Establish best practices, tools, and resources to optimize creative workflows and project delivery
- Plan, track, and prioritize resource allocation and scheduling for projects and initiatives
- Identify and manage relationships with vendors, including procurement, invoice approval, and contract negotiations
- Collaborate with finance to prepare budgets, generate financial reports, and analyze ROI
- Implement and optimize systems like CRM, ERP, and contracts management to improve operational efficiency
- Work with teams to enhance collaboration and streamline the creative process from concept to production within budget
Requirements
- Minimum of 5 years of experience as a creative operations specialist, operations manager, project operations, or similar role.
- Extensive experience in project management, planning, and prioritizing multiple projects.
- Understanding of creative processes, including branding, graphic design, content development, video, and/or product design.
- Proficiency in business financial operations systems such as CRM, ERP, and contracts management.
- Strong analytical skills with a track record of providing analytical support for problem-solving.
- Exceptional organizational skills with a keen eye for detail.
- Excellent oral and written communication skills.
- Motivated with a proactive approach to tasks.
- Demonstrated ability to build and maintain executive-level relationships.
- Bachelor’s degree in human-computer interaction, user experience, interaction design, applied social science, or a related field.
- Ability to plan and track daily, short- and long-term resource allocation, scheduling, and prioritization for projects and strategic initiatives.
- Ability to identify and establish relationships with vendors relevant to the creative industry, obtain necessary approvals and documentation for purchasing, review and approve vendor invoices, and lead requirements gathering and manage contract negotiations ensuring favorable terms and risk mitigation.
- Ability to collaborate with Finance and Accounting to prepare the division’s annual budget, generate financial reports, and provide insights into budget trends.
- Ability to conduct ad hoc financial analyses to measure ROI and ensure budget alignment with strategic goals and operational needs.
- Experience implementing and optimizing CRM, ERP, and contracts management systems to enhance operational efficiency.
- Ability to collaborate with leadership to develop and execute workload strategies focusing on cost analysis, risk management, and optimizing licensing and services agreements.
- Ability to collaborate with cross-functional teams to promote alignment, enhance collaboration, and develop strategies for efficiently guiding the creative process from concept to production within budgetary constraints.
