Job Description
The role involves providing comprehensive administrative and operational support for the Chicago office, including reception duties, document preparation, event coordination, and maintaining office supplies. The position requires strong communication skills and proficiency in Microsoft Office applications.
Key Responsibilities
- Provide comprehensive administrative and operational support for the Chicago office.
- Provide reception coverage and welcome guests.
- Type and format letters, memos, reports, and other documents using Word and PowerPoint.
- Prepare and update spreadsheets in Excel.
- Assist in completing and reviewing expense reports.
- Initiate check requests and paperwork for donations and sponsorships.
- Compose and edit documents.
- Coordinate in-house or off-site meetings and events.
- Provide new hire office orientations.
- Make travel arrangements with the firm's travel agency.
- Screen calls and correspondence.
- Assist with daily incoming and outgoing mail and deliveries.
- Communicate effectively with clients on administrative matters.
- Assist with café operations and maintaining office supplies.
- Provide occasional cleaning duties as needed.
- Cross train in administrative functions as directed.
Requirements
- Minimum of two years of related experience required.
- High School Diploma or GED required.
- Advanced skills in Microsoft Word, Excel, Outlook, Teams and PowerPoint required.
- Excellent verbal and written communication skills.
- Strong attention to detail and focus on accuracy with work is a must.
- Ability to work in a highly collaborative and deadline-driven environment.
- Must be available to work in the office Monday to Friday.
- Must be available to work into the evening on occasions to support in-office events, which may require working additional hours.
- Ability to lift up to 30 pounds.
- As a condition of employment, all employees are expected to complete mandatory training, including compliance training, within required timeframes and adhere to internal policies and the Code of Conduct.
Benefits & Perks
Compensation/salary range: 17.84 to 22.31 hourly
Work schedule: Monday to Friday, with occasional evening and weekend coverage
