The Document Control Specialist is responsible for managing project documentation, ensuring compliance, and supporting policy development within a renewable energy organization, with a focus on data accuracy, process improvement, and collaboration across business units.
Key Responsibilities
Review and identify missing or incomplete project documents and data for Sitetracker implementation
Liaise with business units to locate, load, and ensure proper storage of documents and data
Track and follow up on resolution of outstanding documentation issues
Train business units on document creation, approval, and storage processes
Participate in project turnover meetings to ensure documentation completeness
Audit active projects for document and data completeness based on standardized checklists
Collaborate with teams to improve document and data collection processes based on feedback
Report on KPIs related to document and data management to stakeholders
Manage policy and procedure repositories, including development, revision, and publishing
Support policy and procedure development, revision, and annual review processes
Assist with compliance administration tasks such as risk management, board governance support, and compliance tracker maintenance
Requirements
Minimum 3-5 years experience in Document Control, Data Management, Legal Operations, Compliance or in a similar documentation-heavy role.
Strong organizational and communication skills.
Detail-oriented with a proactive approach to problem-solving.
Ability to work independently and manage multiple priorities.
Experience maintaining content on an enterprise platform with tracked KPIs.
Experience with Salesforce or similar customer relationship management (CRM) tools.
Experience with contract lifecycle management (CLM) systems.
