Job Description
The Document Control Specialist is responsible for managing project documentation, ensuring compliance, and supporting policy development within a renewable energy organization, with a focus on data accuracy, process improvement, and collaboration across business units.
Key Responsibilities
- Review and identify missing or incomplete project documents and data for Sitetracker implementation
- Liaise with business units to locate, load, and ensure proper storage of documents and data
- Track and follow up on resolution of outstanding documentation issues
- Train business units on document creation, approval, and storage processes
- Participate in project turnover meetings to ensure documentation completeness
- Audit active projects for document and data completeness based on standardized checklists
- Collaborate with teams to improve document and data collection processes based on feedback
- Report on KPIs related to document and data management to stakeholders
- Manage policy and procedure repositories, including development, revision, and publishing
- Support policy and procedure development, revision, and annual review processes
- Assist with compliance administration tasks such as risk management, board governance support, and compliance tracker maintenance
Requirements
- Minimum 3-5 years experience in Document Control, Data Management, Legal Operations, Compliance or in a similar documentation-heavy role.
- Strong organizational and communication skills.
- Detail-oriented with a proactive approach to problem-solving.
- Ability to work independently and manage multiple priorities.
- Experience maintaining content on an enterprise platform with tracked KPIs.
- Experience with Salesforce or similar customer relationship management (CRM) tools.
- Experience with contract lifecycle management (CLM) systems.
