Job Description

The Document Control Specialist is responsible for managing project documentation, ensuring compliance, and supporting policy development within a renewable energy organization, with a focus on data accuracy, process improvement, and collaboration across business units.

Key Responsibilities

  • Review and identify missing or incomplete project documents and data for Sitetracker implementation
  • Liaise with business units to locate, load, and ensure proper storage of documents and data
  • Track and follow up on resolution of outstanding documentation issues
  • Train business units on document creation, approval, and storage processes
  • Participate in project turnover meetings to ensure documentation completeness
  • Audit active projects for document and data completeness based on standardized checklists
  • Collaborate with teams to improve document and data collection processes based on feedback
  • Report on KPIs related to document and data management to stakeholders
  • Manage policy and procedure repositories, including development, revision, and publishing
  • Support policy and procedure development, revision, and annual review processes
  • Assist with compliance administration tasks such as risk management, board governance support, and compliance tracker maintenance

Requirements

  • Minimum 3-5 years experience in Document Control, Data Management, Legal Operations, Compliance or in a similar documentation-heavy role.
  • Strong organizational and communication skills.
  • Detail-oriented with a proactive approach to problem-solving.
  • Ability to work independently and manage multiple priorities.
  • Experience maintaining content on an enterprise platform with tracked KPIs.
  • Experience with Salesforce or similar customer relationship management (CRM) tools.
  • Experience with contract lifecycle management (CLM) systems.
