Job Description
The role involves coordinating the interview process, managing candidate and hiring manager communications, scheduling interviews, handling offer and onboarding processes, and supporting recruiting operations to ensure a smooth and efficient hiring experience.
Responsibilities
- •Manage scheduling and coordination of interviews between candidates, interviewers, and hiring managers using ATS and other tools.
- •Prepare interview packets, schedules, and gather feedback from interviewers promptly.
- •Arrange pre-screening and face-to-face interview logistics.
- •Manage offer approvals, onboarding processes, and candidate tracking within the ATS.
- •Coordinate background verification, onboarding, and immigration processes for new hires.
- •Assist with administrative tasks related to candidate management, including posting jobs and maintaining candidate data.
- •Support the administration of employee referral programs and ensure referral awards are processed.
- •Identify and recommend process improvements for recruiting workflows and operational efficiency.
- •Conduct audits of candidate and new hire data in the ATS.
- •Support broader recruiting operations and special projects as needed.
Requirements
- •Have at least 2 years of scheduling and calendar management experience.
- •Have experience as an HR Coordinator or Recruiting Coordinator.
- •Proficient in identifying efficient processes and recruiting workflows.
- •Have experience processing offer letters and background check administration.
- •Have outstanding communication, organizational, attention to detail, and problem-solving skills.
- •Embrace change with a great attitude and feel comfortable with ambiguity.
- •Have experience working in a startup or fast-paced environment.
- •Have administrative experience for manager or executive-level individuals.
- •Ability to go in office as needed.
- •English fluency to communicate with team members and candidates.
- •Experience with Applicant Tracking Systems (ATS), ideally Greenhouse, iCIMS, or Workday.
- •Scheduled a minimum of 200 interviews monthly.
