Job Description
A Senior Executive Assistant supporting the CEO and leadership team in a fast-growing renewable energy startup, responsible for managing schedules, coordinating meetings, streamlining communication, supporting company operations, and handling special projects to ensure organizational efficiency and effectiveness.
Key Responsibilities
- Manage the CEO's and executive leadership team's calendars and coordinate internal and external meetings
- Ensure smooth execution of meetings, including agenda preparation, materials, follow-ups, and travel logistics
- Support the company's internal cadence by facilitating leadership meetings and planning cycles
- Support office management tasks such as scheduling visitors, managing office equipment requests, and maintaining office tidiness
- Assist with special projects, events, and initiatives as needed
- Help streamline communication and bring structure to a fast-paced, ambiguous environment
Requirements
- A minimum of 5 years of experience as an executive assistant within a corporate environment.
- Experience supporting executives in a fast-paced environment where things are moving quickly.
- Ability to stay focused, organized, and a few steps ahead even when the path isn’t fully clear.
- Ability to bring calm to chaos and operate with discretion, professionalism, and sound judgment when handling sensitive information.
- Strong communication skills to write emails and participate confidently in meetings, conveying points with clarity and warmth.
- Resourcefulness, solution-oriented mindset, and quick problem-solving skills to adapt when plans shift or priorities change.
- Ability to protect an executive’s time by understanding what is urgent and what is not, and making judgment calls to manage competing demands on an executive’s schedule.
- Ability to build strong, positive relationships with team members, investors, and represent the CEO with thoughtfulness and credibility.
- Experience in managing calendars, coordinating meetings (internal, external, Board meetings, conferences, offsites), including planning, scheduling, agenda preparation, follow-ups, and travel logistics.
- Experience supporting the internal cadence of a company by helping run weekly leadership meetings, planning cycles, and other key moments throughout the year.
- Support with office management tasks such as scheduling visitors, managing office equipment requests, seating arrangements, and general office tidiness.
- Willingness to assist with special projects, including event planning, sending swag and gifts, or supporting new initiatives.
